12 voicemail script templates for sales follow-up

Twelve short voicemail scripts for first touch, follow-up, no-shows and old leads, with simple rules on length and call to action.

12 voicemail script templates for sales follow-up

These voicemail script templates are short on purpose. A voicemail is not a pitch; it is a reason for the person to answer next time or reply to a message. Each one below fits in about 20 to 30 seconds spoken at a normal pace.

Fill the [brackets] and adapt the wording to your own voice. If you use an AI voice agent, put the pattern into the prompt rather than a word-for-word script.

Rules for any voicemail

  • Name and company first, number last, and say the number slowly.
  • One reason, tied to something real: their enquiry, their request, a missed appointment.
  • One next step. Not three.
  • No pressure and no fake urgency.
  • Match the channel: if you also send a text, say so ("I'll send you a quick text as well").

First-touch voicemails

1. Web enquiry "Hi [first name], it's [name] from [company]. You asked about [service] on our site today, so I wanted to catch you while it's fresh. I'll send a text with a link to book a time, or you can call me on [number]. That's [number] again."

2. Inbound missed call "Hi [first name], this is [name] from [company]. We missed your call earlier. I'm sorry about that. Reply to the text I just sent with a good time and we'll call you, or ring [number]."

3. Referral "Hi [first name], it's [name] at [company]. [Referrer] suggested I get in touch about [topic]. I'll keep it brief: call me on [number] when you have a minute, or I'll try you again [day]."

4. Event or webinar attendee "Hi [first name], [name] from [company]. Thanks for joining [event]. A lot of people asked about [topic], so I wanted to offer a quick call. Reply to my text or call [number]."

Follow-up voicemails

5. Second attempt "Hi [first name], [name] from [company] again. I tried you [yesterday/earlier] about [topic]. If it's still on your list, text me a time that works and I'll call then. [Number]."

6. After sending a quote or proposal "Hi [first name], it's [name] at [company]. I sent over the [quote/proposal] on [day]. I'm happy to talk through any part of it. Call me on [number] or reply to the email."

7. Final attempt, polite close "Hi [first name], [name] from [company]. I've tried a few times, so I'll stop after this. If [topic] becomes a priority, you can reach me on [number]. All the best."

For how many attempts to make and when, see the follow-up cadence guide and the follow-up sequence templates.

Appointment voicemails

8. Confirmation reminder "Hi [first name], it's [name] from [company] about your appointment on [day] at [time]. Reply C to confirm or call [number] to change it."

9. No-show "Hi [first name], [name] from [company]. We missed you at [time] today. No problem at all. Reply with a better time and we'll rebook, or ring [number]."

Reactivation voicemails

10. Dormant lead "Hi [first name], [name] at [company]. You asked about [service] a while back. If it's still relevant, I have [one specific update]. Call [number] or reply to my text. No worries if not."

11. Past customer "Hi [first name], it's [name] from [company]. It's been [time] since we last spoke, and I wanted to check in. If anything has changed, call me on [number]."

Compliance-minded voicemail

12. Opt-out included "Hi [first name], [name] from [company] about your enquiry on [topic]. Call [number] to talk. If you'd rather not hear from us, just say so when you call or reply STOP to our text, and we'll remove you."

Rules on recorded and artificial voices differ by country. This is general information, not legal advice; check current rules for the places you call. The sales call compliance checklist is a useful starting point.

Testing your voicemails

Record yourself and listen back. Check three things: does the first sentence say who you are, is the reason specific, and could someone act on it without replaying the message? If not, shorten it. A common mistake is saying the phone number too fast, so write it out with pauses and read it aloud.

Try it

Purple Voice campaigns retry up to five times inside calling hours you choose, and the not-reached analytics show you which leads never picked up, so you can follow up another way. Start with the Free plan, no card required, at voice.purplerocket.co.

Frequently asked questions

How long should a sales voicemail be?

Aim for 20 to 30 seconds. That is enough to say who you are, why you called and one clear next step. Longer messages tend to be skipped or forgotten.

What should you say in a sales voicemail?

Say your name and company, a specific reason tied to something the person did or needs, and one simple action such as calling back or replying to a text. Repeat your number slowly at the end.

Should you leave a voicemail on every call attempt?

Not usually. Many teams leave a voicemail on the first or second attempt and then rely on text, email and further calls. Repeated voicemails can feel like pressure.

Can an AI voice agent leave voicemails?

That depends on how your calling is set up and on local rules about artificial or prerecorded voices. Check your configuration and current regulations before relying on it, and keep retries sensible.

Do voicemails still work for lead follow-up?

They can, as one touch in a sequence. A short, specific voicemail paired with a text or email usually does more than a voicemail alone.
