AI outbound calling software: a buyer's checklist

A practical checklist for evaluating AI outbound calling software: what to test, what to ask vendors, and which red flags to watch for before you commit.

AI outbound calling software: a buyer's checklist

When you evaluate AI outbound calling software, the demo matters less than six things: whether it runs on your phone numbers, how it handles interruptions, what controls you get over campaigns, how it books and hands off, what you can see after each call, and what it all costs. This checklist covers each one with specific questions to ask and tests to run.

It is written for sales leads, founders and agency owners comparing tools, and it is deliberately category-level rather than a list of vendors.

1. Phone numbers and carriers

Outbound calling depends on numbers.

  • Can you bring your own numbers from a carrier such as Twilio, Plivo or SuperPhone?
  • Who owns the number and the call reputation attached to it?
  • Is the number's cost billed separately, and how much is it?
  • Can prospects call the number back and reach something sensible?

Using your own numbers usually gives you better control, and it avoids being tied to a vendor's pool. In Purple Voice, agents run on your own numbers, and phone-number rental is billed by the carrier rather than by Purple Voice.

2. Conversation quality

This is the part you can hear, so test it properly.

  • Latency. How long is the gap after you finish speaking? A gap of more than a second or so feels slow.
  • Interruptions. Does it stop when you talk over it, and does it recover gracefully?
  • Turn-taking. Does it jump in during your pauses?
  • Accuracy. Does it correctly capture names, emails and numbers?
  • Voice. Does it sound like someone you would let speak to your leads?

Do not judge from a vendor's best demo. Place calls to your own phone and be difficult. For background on what drives this, see how AI voice agents work.

3. Campaign controls

Outbound software lives or dies on the boring controls.

  • Upload a list from a spreadsheet.
  • Set calling hours, by contact timezone where possible.
  • Set retry rules: how many attempts and when. Purple Voice allows up to five retries with retry hours.
  • See progress while a campaign runs.
  • See why contacts were not reached: busy, no answer, voicemail, wrong number.
  • Pause or stop a campaign immediately.
  • A consent confirmation step before launching.

If a tool cannot tell you who has not been reached and why, you cannot improve a campaign.

4. Knowledge and instructions

The agent is only as good as what it knows.

  • Can you add a knowledge base with pricing ranges, service areas and objection answers?
  • Can you write clear instructions, including what the agent must never say?
  • Can you edit them quickly and test again?
  • Does the agent admit when it does not know?

Look at how instructions are structured. Prompts you can understand and edit are better than opaque settings. For advice, see how to write an AI voice agent prompt.

5. Booking and calendar

If the goal is meetings, the agent has to book them.

  • Does it connect to your actual calendar?
  • Does it offer real open slots instead of promising a callback?
  • Does it handle time zones and confirm the booking back to the caller?
  • Do you get a notification?

Purple Voice books on Google Calendar. The detail is in AI appointment setting.

6. Handoff to a human

No agent should trap a caller.

  • Can it transfer a live call to a person on a trigger you define?
  • Does the person receive context?
  • What happens if nobody picks up?
  • Can the caller ask for a human at any time?

See warm transfer from AI to human for how to design this well.

7. Visibility after the call

You will only improve what you can see.

  • A full transcript of every call.
  • A short summary with outcome.
  • Recordings, where you are permitted to record.
  • Search and filtering by outcome.
  • Analytics: answer rate, qualified rate, booked rate. See AI calling metrics that matter.

8. Integrations and automation

  • Webhooks to push outcomes to your CRM or other tools.
  • An API for custom workflows.
  • Email notifications and summaries.
  • Messaging channels, where relevant.

Check which integrations are live today and which are described as coming soon, and ask for dates only if you actually need them. On Purple Voice, Google Calendar booking is built in, webhooks, API keys and automations are available on Pro, and messaging channels such as email and WhatsApp are planned rather than live.

9. Compliance controls

Regulation of automated and cold calls is strict in many countries.

  • Calling-hours enforcement.
  • Do-not-call and suppression list handling.
  • Consent confirmation before running a campaign.
  • Ability to disclose that the caller is an AI.
  • Recording notices and retention settings.

The software supports compliance, but responsibility stays with you. This is general information, not legal advice, so check current rules for each market. See is AI cold calling legal.

10. Testing before launch

  • Can you place a test call to your own phone?
  • Can you run a tiny campaign of five contacts?
  • Is there a free tier or trial that does not require a card?

A tool that does not let you hear the agent before you commit is asking you to trust a demo.

11. Pricing transparency

Ask for the full cost of a typical call.

  • Platform fee, per-minute fee or both.
  • Whether phone numbers and AI usage are included or billed separately by providers.
  • Limits on agents, numbers, campaigns and contacts.
  • What happens when you exceed included minutes.

Purple Voice's plans are Free at $0, Basic at $19 a month, Pro at $299 a month, and Enterprise on request. Compare tools on cost per booked meeting, not on the headline price. More detail is in AI voice agent pricing explained.

12. Support and reliability

  • Who helps when a call goes wrong?
  • Is there an assistant or documentation to help you configure?
  • How are outages communicated?
  • Is the AI layer managed for you or something you have to tune yourself?

Red flags

  • No way to hear the agent before paying.
  • No transcripts or recordings.
  • Vague answers about who pays for phone and AI usage.
  • Promises of guaranteed results or fixed conversion rates.
  • No handoff to a human.
  • Claims that compliance is "handled" without explaining what you must do yourself.

Try it

Run your shortlist through the same test: five calls to your own phone, one small campaign, one hard look at the transcripts. Purple Voice's Free plan gives you one agent, one number, one campaign of up to 100 contacts and 100 minutes a month, with no card. Start at voice.purplerocket.co.

Frequently asked questions

What is AI outbound calling software?

It is software that places calls to a list of contacts and uses a voice agent to hold the conversation, qualify, book appointments or hand off to a person, with transcripts and outcomes recorded afterwards.

What features should AI outbound calling software have?

At minimum: your own phone numbers, campaign controls with calling hours and retries, natural voice with interruption handling, a knowledge base, calendar booking, transfer to a human, transcripts and recordings, and compliance controls.

How do I compare AI outbound calling tools?

Run the same test script and list on each, listen to real recordings, check how they handle interruptions and awkward questions, and compare total cost per booked meeting rather than headline price.

Should AI calling software use my own phone numbers?

It is usually better. Your own numbers keep caller ID consistent, let people call you back, and give you control over reputation and carrier relationships.

How much does AI outbound calling software cost?

Pricing varies: per minute, per seat, per platform tier or a mix. Always ask what is included and whether phone and AI usage are billed separately. Purple Voice has a free plan, a $19 Basic plan and a $299 Pro plan.

What should I test before buying?

Call yourself repeatedly. Interrupt, go off topic, mumble, ask a price question, and ask for a human. Then run a small real campaign and read the transcripts.
