An AI voice assistant for UK estate agents: lettings, sales and valuations

Lettings enquiries pour in, negotiators are out at viewings. See how an AI voice assistant fits UK estate agency, and what to check on consent and recording.

An AI voice assistant for UK estate agents: lettings, sales and valuations

An estate agent AI voice assistant UK agencies can rely on does three jobs well: it answers the phone when nobody can, calls new portal and website enquiries back quickly, and books viewings and valuations into your diary. It does not negotiate, advise on price or replace your negotiators. For a branch with a busy lettings desk and a small team, it often closes the gap between "enquiry received" and "viewing booked".

The UK context: lettings pressure and portal competition

UK agencies feel the portal effect strongly. A tenant searching for a flat will message several agents about the same listing, and in busy areas listings go under offer within days. Lettings enquiries in particular are time-sensitive because tenants have a move-in date.

Most branches share the same weak spots:

  • Calls at 6pm when the office has closed.
  • Saturday morning, when everyone is at viewings and the phone rings out.
  • Enquiries sent late at night that are not looked at until the next afternoon.
  • Landlords who ring to ask about a valuation and reach voicemail.

An AI assistant covers these gaps. It does not need to be brilliant. It needs to answer, be useful and pass the right information to the right person.

Inbound: the receptionist job

On an inbound line, the assistant picks up, says it is an AI assistant for your agency, and finds out why the person is calling. Typical reasons include:

  • Viewing request for a specific listing.
  • Question about a tenancy, such as a repair or renewal.
  • Landlord wanting a valuation or management quote.
  • Applicant asking whether a property is still available.

Give the agent a knowledge base with your listings summary, fees information that you are happy to share publicly, viewing hours, branch address, and how to report urgent repairs. Tell it plainly what to do for things it cannot handle: take name, number and a short message, mark as urgent in the summary, or transfer to a named colleague during opening hours.

Keep tenant repair emergencies out of the AI's hands unless you have a clear escalation route. A leaking ceiling or a gas smell needs a person and a process, not a transcript read the next morning.

Outbound: calling back portal and website leads

On the outbound side, a campaign calls enquiries as they arrive. Purple Voice campaigns let you set calling hours and retries, up to five, with retry hours you choose, so an unanswered lead is tried again at sensible times rather than being forgotten.

Lettings qualifying questions

For a rental enquiry, the agent can collect:

  • Preferred move-in date.
  • Number of occupants and whether children are involved.
  • Pets.
  • Rent budget and whether income requirements are understood.
  • Whether they need a guarantor.

You then arrive at the viewing knowing whether the applicant is realistic. This saves both sides a wasted trip.

Sales qualifying questions

For sales, focus on:

  • Location and bedrooms.
  • Budget range.
  • Chain position, for example first-time buyer, selling subject to sale, cash buyer.
  • Timeline.
  • Mortgage in principle.

Vendor and landlord leads

When a vendor or landlord asks for a valuation, the agent should only qualify and book. A reasonable script goal looks like: confirm address, ask why they are considering selling or letting, ask whether they have spoken to other agents, and offer valuation slots. Pricing comes from you.

Booking viewings and valuations

Connect Google Calendar and the agent can offer real slots during the call. For a team, consider one calendar per negotiator and a shared viewing calendar. Add buffers for travel, and tell the agent the length of each appointment type, because a 20-minute viewing and a 45-minute valuation are different things.

PECR, TPS and UK GDPR

UK rules deserve a clear-eyed look before you start. This is general information, not legal advice, so check current guidance from Ofcom and the ICO, or speak to a solicitor.

A few points to know:

  • Calls you make to people who enquired about a property are generally tied to that enquiry, but live marketing calls to numbers on the Telephone Preference Service need care. Keep a record of where each number came from and what the person agreed to.
  • Do not make cold calls to numbers on the TPS or your own suppression list.
  • Under UK GDPR you need a lawful basis for holding and using personal data, and people should be told how their data is used. Recording and transcribing calls is processing of personal data.
  • Silent or abandoned calls are a particular concern for Ofcom. Make sure your calling approach never leaves a person on the line with nothing.

Read more in our overviews of PECR and AI calls in the UK and GDPR and call recording. Purple Voice campaigns include a consent confirmation step, which prompts you to confirm you have a basis for calling the list.

A sensible rollout for a branch

Start small and watch closely:

  1. Pick one use, such as out-of-hours inbound or calling new lettings enquiries.
  2. Write a short prompt and a knowledge base for ten live listings.
  3. Make test calls on your own phone, with colleagues playing awkward callers.
  4. Run for two weeks with transcripts reviewed daily.
  5. Fix the three most common misunderstandings in the prompt.

Our guide to testing an AI voice agent lists the checks worth running first.

Limits worth being honest about

  • It will not read a room the way an experienced negotiator does.
  • Accents, background noise and poor mobile signal affect recognition on any system.
  • A knowledge base is only as accurate as the person maintaining it.
  • Some older vendors prefer a human voice, so offer a clear way to reach one.

What to review each week

For the first month, spend fifteen minutes every Monday reading a sample of transcripts. Look for three things: questions the agent could not answer because the knowledge base was thin, moments where callers asked for a person and how quickly they got one, and viewings that were booked but not attended. Each finding becomes a small change to the prompt or the knowledge base. Agencies that treat the agent like a new member of staff, with a probation period and feedback, tend to get far better results than those who switch it on and walk away. Keep a short log of changes so you can tell which edit improved things.

Try it

Set up one agent for your lettings line on the Purple Voice Free plan: one agent, one number, 100 minutes a month, no card. Make a test call, import last week's enquiries into a small campaign, and compare the viewings booked with your usual weekend. Start at voice.purplerocket.co or see pricing for Basic and Pro.

Frequently asked questions

Can an AI voice assistant answer calls for a UK estate agency?

Yes. It can answer inbound calls, answer common questions from a knowledge base, take details, book viewings or valuations into Google Calendar, and transfer to a negotiator when needed. Out-of-hours coverage is where many agencies see the most value.

Is it legal for an estate agent to use AI to call people in the UK?

It can be, but the rules depend on who you call and why. Marketing calls are covered by PECR, including TPS checks, and personal data is covered by UK GDPR. This is general information, so check current Ofcom and ICO guidance.

Should a UK estate agent disclose the call is automated?

Yes, as a matter of good practice. A short line at the start saying you are an AI assistant calling for the agency is honest and tends to set the right expectation.

Can an AI handle lettings enquiries as well as sales?

Yes, with separate prompts or separate agents. Lettings calls ask about move-in date, household, pets, income checks and deposit, while sales calls focus on budget, chain and timeline.

Can the agent give a property valuation?

It should not. Valuations are your expertise. The agent can qualify the vendor, collect the address and book a valuation appointment with the right negotiator.

What does an AI voice assistant cost for a small UK agency?

Purple Voice has a Free plan with 100 minutes a month and Basic at $19 a month with 1,000 minutes. Phone numbers and AI usage are billed by your telephony and AI providers.
